Evidence for your source review

Certifications, Approvals
& Documentation

Match the evidence to the proposed manufacturer, product and market. Include your requirements in the RFQ so the relevant records can be requested and checked during source evaluation.

Manufacturer certifications

Identify the certificate holder and actual manufacturing facility. Review the standard, certified scope, issuing body and validity for the proposed source.

Applies to the named manufacturer or facility.

Product approvals

Where applicable, identify the covered product/model, configuration, market and approval or file reference. Confirm that the proposed item falls within the documented scope.

Applies to the identified product and approval scope.

Define the documentation you need.

Identify the equipment configuration, destination requirements, required declarations and test reports. Factory testing alone does not establish destination approval.

Have a reference machine?

Share its model, nameplate, photographs and known limitations, together with the duty required. Similar appearance does not establish equivalent capability.

Task & input
Process, material/product, size range, input condition and the result the equipment must achieve.
Output & duty
Capacity, cycle or throughput target, operating hours, changeovers and required product quality.
Site & utilities
Layout, access, footprint, voltage/frequency, power, air, water or other utilities and environmental conditions.
Integration & controls
Mechanical interfaces, upstream/downstream equipment, operator requirements, control architecture and communications.
Acceptance & destination
Measurable tests, records, applicable destination requirements, delivery location and project timing.
Define the job before comparing machines

Production operation

State input material, task, output, duty and acceptance values.

Compare configurations under the same conditions.

Handling or plant utility

Define load or service duty, route, utilities and interfaces.

Include site access and integration requirements.

Custom process equipment

Share the functional brief, layout and trial requirements.

Separate equipment, testing and site-service scope.

Useful examples of application-specific inputs

Handling equipment

Load, dimensions, centre of gravity where relevant, transfer route, speed, frequency and required positioning.

Pumps & utilities

Specify the required duty: for example, pump flow/head and liquid conditions, or compressed-air flow/pressure and quality.

Production systems

Material/product range, process sequence, tooling interfaces, cycle requirements and agreed output-quality criteria.

These prompts support the enquiry. Final sizing and suitability require technical review of the actual system and duty.

Define success before ordering

Acceptance should be
a testable requirement.

Agree the test method, conditions, equipment configuration, evidence and approval responsibility. Keep factory testing and site acceptance distinct.

Agree the protocol

Define test material, duty, duration, limits, measurement methods and the records to be supplied.

Factory testing

Review the agreed factory checks and FAT scope, including performance, operation and documentation where specified.

Resolve findings

Record deviations, corrections and retest requirements. Define what must close before release or dispatch.

Site acceptance

Where included, confirm installation, utilities, commissioning and site tests under the agreed responsibilities.

State the conditions behind a performance figure.

Output depends on the product/material, operating setup, utilities and duty. Specify these alongside acceptance values so quotations and tests address the same requirement.

Compare the complete offer

The machine is one part
of the supply scope.

Keep delivery, site work, documentation and support visible. Each included service and exclusion should be stated in the quotation and order.

Packing & delivery

Preservation, export packing, freight basis, unloading and destination responsibilities.

Installation & startup

Site readiness, utilities, installation, commissioning, travel and training when included.

Documentation

Manuals, drawings, test reports, control/software records and required declarations as agreed.

Warranty & spares

Coverage, exclusions, support arrangements, consumables and initial or critical spare parts.

Agree the purchasing, inspection and service responsibilities.

For orders placed on BGS, every unit is inspected against agreed criteria. For direct manufacturer orders, inspection and coordination services are agreed separately. Installation, commissioning, laboratory testing and after-sales work are included only where expressly agreed.

Practical buyer questions

Before you shortlist
the next machine.

Is BGS an equipment manufacturer or sourcing company?

Bhuvika Global Solutions (BGS), a trade name of S.B. Enterprises, coordinates sourcing through suitable Indian equipment manufacturers. The selected manufacturer is responsible for the agreed equipment design, manufacture and support scope. Capability, configuration, documentation and approvals are confirmed for the actual project.

Can I start with a process requirement instead of a model number?

Yes. Explain the task, material or product, required output and operating conditions. Include layouts, drawings, samples or an existing-machine reference where available. The proposed manufacturer must review feasibility and clarify assumptions before the equipment configuration is agreed.

Can BGS source standard and custom equipment?

Selected standard, configurable and engineered requirements can be evaluated. State fixed specifications and where alternatives are acceptable. For custom equipment, concept, interfaces, performance tests and approval milestones need agreement before manufacture.

Are installation, commissioning and training included?

Only when explicitly included in the quotation and order. Clarify site preparation, utilities, unloading, installation, commissioning, travel, training and responsibility for each activity. A supply-only offer should not be assumed to include on-site services.

Can I request a Factory Acceptance Test?

Yes. Agree the FAT protocol, test material, operating conditions, duration, output criteria, records, witness arrangements and correction/retest scope before ordering. FAT completion does not automatically establish site acceptance or destination compliance.

What about warranty, spare parts and after-sales support?

Define the warranty terms, exclusions, start point, support location, response arrangements and spare-parts scope in the offer. Confirm manuals, drawings, software access or backups where relevant. Availability and service terms depend on the selected manufacturer and equipment.

Can equipment meet my destination standards?

State the destination and exact applicable requirements at enquiry. Documentation, testing, certification and third-party assessment must be confirmed for the selected manufacturer, facility and equipment configuration. No universal certification or compliance approval is assumed.
